Your Work Context

As Site Personnel Administrator for our Construction Projects, you ensure smooth and accurate administrative operations behind the scenes. You support both the site team and the site workforce with precise personnel administration, planning and document follow‑up. Thanks to your structured approach and eye for detail, our construction sites can continue to run efficiently and safely.

Your Role

In this role, you are the administrative backbone of our Construction Projects. You support workers, foremen, site managers and project managers with a wide range of administrative and organisational tasks. You ensure accurate personnel administration, efficient planning and smooth communication of all site‑related information to the appropriate departments.

Your responsibilities:

  • You manage the full administrative follow‑up of site personnel — from entering signalling and performance data to collecting sick notes and issuing time cards.
  • You check secondment documents and LIMOSA notifications and closely monitor checkin@work to ensure all legal requirements are met.
  • You collect daily reports from foremen, process them in the payroll system and forward them to site and project managers in preparation for progress statements.
  • You support site and project managers by comparing delivery notes and invoices with purchase orders and submitting them for approval after verification.
  • You welcome new workers, provide onboarding brochures and deliver HSE introductions on larger sites to ensure everyone starts safely and well‑informed.
  • You schedule the assigned site personnel and report promptly to the Head of Site Personnel in case of vacancies or personnel issues.
  • You participate in the technical assessment during the recruitment of construction workers to ensure the right profiles are placed on the right sites.

What you need to have

  • At least a secondary education diploma, preferably in an administrative field. Both starters and experienced candidates are welcome.
  • Very good command of Dutch, a good basic knowledge of French and English as an asset.
  • A category B driving licence and willingness to travel between sites.
  • The ability to start at 7 a.m., in line with site operations.
  • Strong social and communication skills, with ease in interacting with both workers and management.
  • The resilience to stand your ground in a dynamic site environment.
  • Willingness to work initially at the site in Zaventem.
  • Flexibility regarding work location, both during training and in the longer term.
